Office Manager

A client of ours in Amsterdam is looking for an Office Manager. As Office Manager, you are the glue within the organization. You support the management in the secretarial and administrative fields. You carry out administrative duties in the area of personnel- and salary administration. You are the contact person for suppliers and internal employees.

Job Description

  • You carry out administrative work for the personnel- and payroll administrations and for the financial administration. These include processing and managing all HR correspondence, from recruitment to dismissal, processing changes in the HR database and booking and paying purchase invoices.
  • You manage the personnel files in the HR database (digitally and in accordance with the GDPR guidelines).
  • You’re responsible for the vehicle fleet.
  • You answer HR-related questions from the internal employees.
  • All incoming mail will be processed by you.
  • For all affiliated companies, you keep records and you ensure that all information is secured in AFAS and Office365.
  • For our suppliers, you are the contact person. For example, you make sure that all matters in and around the office are arranged for us, that the right office supplies are in stock, that the right employees have access to the office etc.
  • For our consultants you look for suitable assignments and clients and provide the right information to clients and/or recruiters.
  • You are responsible for the facilities within our organization. You ensure that the office is equipped as a good and safe workplace.
  • Every quarter you plan a meeting between the management and the accountant, and you attend. You ensure that agreements are recorded and that an action list is drawn up.
  • Like any employee, you are responsible for reporting information security incidents to the Security Officer.

Authority Level

The Office Manager is authorized to access all modules in our organization’s software and company data. This concerns both the financial data and the employee data of our organization and affiliated companies.

You are a signing officer, and, in that role, you are formally authorized to sign for the organization and all affiliated companies. You are authorized to oversee and make financial transactions for the organization and all affiliated companies.
